Introduction

We work (or on behalf of other organisations which we will refer to as the agent of change) to engage with citizens around their opinions and aspirations to inform projects relating to the built environment, public places, transport, infrastructure and public policy.

We analyse and evaluate this information using various qualitative and quantitative techniques.

This analysis helps us to gain insights on lived experience, sentiments and needs and make better, more informed decisions as a result.

It is in that capacity that we collect, process and manage personal data.

 

The type of personal information we collect and why

The type of personal information we collect includes;

 

·      Name and contact details

·      Age, gender, health status and ethnicity.

·      Relationship to a geographic area or project

·      Your opinions and lived experience

 

We collect this information to ensure we are engaging with a wide range of people which can help to inform the development of proposals that are responsive to different user needs.

 

Please note GDPR classifies data related to racial or ethnic origin or Health as Special category data.  This data is anonymised and collected by Streets Reimagined Ltd for statistical purposes only to ensure equality of opportunity or treatment. You are under no obligation to provide special category data and have a right to withdraw consent for it to be processed.

  

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

·      When you complete a form / survey created and managed by us but hosted on a third party site (e.g. surveymonkey, participatr)

·      When you contact us by telephone

·      When you contact us by email

·      When information is passed to us for processing by another organisation (such as the agent of change or an organisation associated with the agent of change in a professional or commercial capacity)

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

We typically utilise third party community engagement digital tools including Survey Monkey, Google Forms and Participatr.

We carefully check their policies to ensure these partners have rigorous data security policies and where data may be store outside of the UK they are GDPR compliant and operate in accordance with an International Data Transfer Agreement as recognised by the Information Commissioner’s Office.

All personal information we hold is securely stored using data encryption, Avast Business software and password protected files.

We will only keep your information for as long as necessary to carry out the purposes for which we collected it. This will depend on the type of information and the types of legal and contractual obligations we must comply with.

We will not keep personal data for longer than is necessary, so when we are deciding how long to keep each category of personal data, we think about the following things: how much data we have, whether it is sensitive or not, what kind of harm there could be if there were an unauthorised disclosure.

The periods for which agents of change will keep your data will vary, so if you have a question about how long personal information is kept for project, please check the privacy policy of the agent of change. The agent of change will have their own policies for holding and processing personal data.

When we dispose of your personal information we will do this securely by deleting it from all locations including from back up file locations.
